Applying to Host a District Conference: Everything You Need To Know

Have you ever attended a District Conference? Has your Chapter hosted or considered hosting one? Next year could be your Chapter’s chance to host a District Conference! 

The Interest Form to host a District Conference in 2024 is now open. In this article, you’ll find all the information you need to know about the application and selection process, as well as resources and important dates to keep in mind.

WHAT ARE DISTRICT CONFERENCES?

District Conferences are mini-conferences planned, hosted and attended by PRSSA Chapter members. They are one to three days long and are held every year between February and April in an in-person, hybrid or virtual format. 

District Conferences help attendees stay up to date with the latest industry trends and provide different learning opportunities, such as speaker sessions, networking events, career fairs and company tours.

BENEFITS OF HOSTING

Hosting a District Conference is an incredible opportunity to help your Chapter with fundraising, membership recruitment, fostering meaningful connections and professional development. They are also at the forefront of PRSSA brand exposure, member recruitment and overall advancement of the Society.

In the process of planning the event, conference committee members gain valuable event planning skills, broaden their network, connect with professionals in the industry and enhance their portfolio. Additionally, committee members are able to interact with other District Conference hosts to brainstorm ideas, ask questions and learn together. One of the commonly noted highlights of hosting a conference is becoming friends with people from all over the globe.

Host Chapters are also eligible to apply for the Teahan Award, which consists of a $300 prize and a plaque for your Chapter. Chapters of any size can apply for the Star Chapter Award by meeting specific goals, one of which is hosting or attending a District Conference.

APPLICATION PROCESS

STEP ONE: INTEREST FORM

Chapters that are considering hosting a District Conference in 2024 should complete the Interest Form. This is a non-binding form that is due on Aug. 10, 2023 at 2 p.m. ET. By submitting this form, you’ll be able to show your interest in hosting and receive more information on District Conferences. You’ll also be able to schedule a meeting with me. 

STEP TWO: HOSTING APPLICATION

On Aug. 11, 2023, the District Conference Hosting Application will go live and must be submitted by all Chapters that want to host a 2024 conference. This is a binding form, which means that selected Chapters must host a District Conference. The District Conference Hosting Application will be due on Sept. 1, 2023 at 2 p.m. ET.

STEP THREE: VIDEO CALL INTERVIEW

Once your Chapter has submitted the District Conference Hosting Application, I will reach out to schedule a video call interview. This is a great opportunity to explain your unique conference plan. It will be 15 to 30 minutes long and the coordinator is required to participate. Additional planning committee members may join as well.

Everyone who submits an application will go through this process. All conference formats (in-person, virtual and hybrid) will be considered equally. 

SELECTION

Host Chapters will be notified that they’ve been selected to host a District Conference in 2024 prior to ICON 2023. At least one person from each host Chapter’s committee should attend ICON to connect with fellow host Chapters and start promoting their conference. The District Conference host Chapters will have the opportunity to promote their conference during the Career Development Exhibition by connecting with potential attendees and giving out flyers or any promotional materials.

Hosting a District Conference is a one-of-a-kind experience. Being able to work together with such amazing people is what makes District Conferences so special and fun to plan. There is no better feeling than being at your conference and thinking about everything you have accomplished and learned throughout the previous months.

Although I just briefly explained what District Conferences are and their application and selection process, it’s important to read the District Conference handbooks for further information:

• District Conference Information Handbook: This handbook gives you a step-by-step guide to hosting a District Conference that is successful and unique. Based on the experience of past hosts, the handbook includes information about submitting a bid, planning, implementing your event and evaluating your success.
• District Conference Execution Guide: This guide provides you with strategies and tactics that will help with the event planning process. Whether you are a pro or planning an event for the first time, the guide will help you through the planning, promotion and evaluation of your conference.

APLICAR PARA ORGANIZAR UNA DISTRICT CONFERENCE: TODO LO QUE TENÉS QUE SABER

¿Has asistido alguna vez a una District Conference? ¿Ha tu Capítulo organizado o considerado organizar una? ¡El año que viene podría ser la oportunidad de tu Capítulo para organizar una District Conference!

¡El período de aplicación para las conferencias de 2024 ya ha comenzado! En este artículo, encontrarás toda la información que debés saber acerca del proceso de aplicación y selección, además de recursos y fechas importantes a tener en cuenta.

¿QUÉ SON LAS DISTRICT CONFERENCES?

Las District Conferences son mini-conferencias planificadas y organizadas por Capítulos de la PRSSA. Duran entre uno a tres días y se llevan a cabo todos los años entre febrero y abril bajo una modalidad presencial, virtual o híbrida. 

A lo largo de los días de la conferencia se desarrollan diferentes sesiones que ayudan a los asistentes a mantenerse actualizados con las últimas tendencias de la industria y brindan oportunidades de crecimiento y aprendizaje, tales como charlas con oradores, eventos de networking, ferias de empleo y visitas a empresas.

BENEFICIOS DE ORGANIZAR UNA DISTRICT CONFERENCE

Organizar una District Conference es una oportunidad increíble para ayudar a tu Capítulo a recaudar fondos, reclutar miembros, desarrollarse profesionalmente y establecer vínculos perdurables y significativos. Además, PRSSA National promociona las conferencias a través de sus diversos canales y redes sociales, por lo que los Capítulos organizadores aumentan su visibilidad a nivel internacional.

Durante el proceso de planificación del evento, los miembros del comité organizador adquieren valiosas habilidades de planificación de eventos y amplían su red de contactos al relacionarse con profesionales de la industria. Además, los miembros del comité pueden interactuar con otros Capítulos organizadores de District Conferences para intercambiar ideas, hacer preguntas y aprender en conjunto. Uno de los aspectos más destacados de organizar una conferencia es hacer amistades con personas de diferentes partes del mundo.

Sumado a esto, los Capítulos anfitriones de conferencias tienen la posibilidad de aplicar a los Teahan Award y ganar un premio de 300 USD y una placa para su Capítulo. Además, los Capítulos de cualquier tamaño pueden aplicar al Star Chapter Award si cumplen con determinados requerimientos, uno de estos siendo organizar o asistir a una District Conference. 

PROCESO DE APLICACIÓN

PASO UNO: INTEREST FORM

Los Capítulos que estén considerando organizar una District Conference en 2024 deben completar el Interest Form, un formulario no vinculante. Los Capítulos tendrán tiempo hasta el 10 de agosto a las 2 p.m. ET para completar y enviar el formulario. 

Al enviar este formulario, podrán mostrar su interés en organizar una conferencia, hacer cualquier pregunta que tengan y programar una reunión conmigo si lo desean. Además, tendrán la posibilidad de recibir más información sobre las District Conferences.

PASO DOS: HOSTING APPLICATION

A partir del 11 de agosto los Capítulos podrán enviar la District Conference Hosting Application. La misma debe ser completada por todos los Capítulos que deseen organizar una conferencia en 2024. Es un formulario vinculante – los Capítulos seleccionados deben obligatoriamente organizar una District Conference. Habrá tiempo para enviar la Hosting Application hasta el 1 de septiembre a las 2 p.m. ET.

Una vez que tu Capítulo haya enviado la District Conference Hosting Application, me pondré en contacto con ustedes para programar una entrevista por videollamada. Esta es una gran oportunidad para que puedan explicar su plan de conferencia único. Tendrá una duración de 15 a 30 minutos y se requiere de la participación de la persona que ocupe el puesto de coordinador/a. Pueden unirse miembros adicionales del comité organizador.

Todos los Capítulos que apliquen para organizar una conferencia pasarán por este proceso. Todos los formatos de conferencia (presencial, virtual e híbrido) serán considerados por igual.

SELECCIÓN

Antes de ICON 2023, los Capítulos seleccionados serán notificados de que fueron escogidos para organizar una District Conference en 2024. Es recomendable que al menos una persona de cada comité organizador asista a ICON para conectar con otros Capítulos organizadores y comenzar a promocionar su District Conference. 

En ICON, los Capítulos organizadores de District Conferences tendrán la oportunidad de promocionar su conferencia durante la Career Development Exhibition al conectar con potenciales asistentes y repartir folletos o cualquier material promocional.

Organizar una District Conference es una experiencia inigualable. Ser capaz de trabajar junto con personas increíbles es lo que hace que las District Conferences sean tan especiales y divertidas de planificar. No hay mejor sensación que estar en tu conferencia y pensar en todo lo que has logrado y aprendido a lo largo de los meses anteriores.

Si bien acabo de explicar brevemente qué son las District Conferences y el proceso de aplicación y selección, es esencial que leas los manuales de las District Conferences para obtener más información:

• District Conference Information Handbook: este manual contiene una guía paso a paso para organizar una District Conference que sea exitosa y única. Basado en la experiencia de anfitriones anteriores, el manual incluye información sobre cómo aplicar, planificar, ejecutar el evento y evaluar su éxito.
• District Conference Execution Guide: esta guía brinda estrategias y tácticas que te ayudarán durante el proceso de planificación del evento. Ya sea que tu Capítulo posea más experiencia en la planificación de eventos o esté planeando uno por primera vez, la guía los ayudará en la planificación, promoción y evaluación de su conferencia.
