{"id":2752,"date":"2012-07-18T01:00:08","date_gmt":"2012-07-18T05:00:08","guid":{"rendered":"http:\/\/progressions.prsa.org\/?p=2752"},"modified":"2012-07-18T15:57:39","modified_gmt":"2012-07-18T19:57:39","slug":"how-executive-boards-can-utilize-the-summer","status":"publish","type":"post","link":"https:\/\/progressions.prsa.org\/index.php\/2012\/07\/18\/how-executive-boards-can-utilize-the-summer\/","title":{"rendered":"How Executive Boards Can Utilize the Summer"},"content":{"rendered":"<p>As the 2011-2012 <ins cite=\"mailto:amyo\" datetime=\"2012-07-12T14:55\">v<\/ins>ice <ins cite=\"mailto:amyo\" datetime=\"2012-07-12T14:55\">p<\/ins>re<img loading=\"lazy\" decoding=\"async\" class=\"alignleft\" src=\"http:\/\/progressions.prsa.org\/wp-content\/uploads\/2012\/07\/effective-teamwork.s600x600-300x211.jpg\" alt=\"\" width=\"300\" height=\"211\" \/>sident for the <a href=\"http:\/\/communication.illinoisstate.edu\/prssa\/\">Illinois State University<\/a> Chapter of <a href=\"http:\/\/communication.illinoisstate.edu\/prssa\/\">PRSSA\u00a0<\/a>, I\u00a0knew how much work being the president for\u00a02012-2013 would be. However, by reflecting\u00a0back on my experience as VP, I\u00a0knew that the best way to combat a stressful school year would be to make the most of the summer. Here are a few tips for you<ins cite=\"mailto:amyo\" datetime=\"2012-07-12T14:59\">\u00a0<\/ins>to consider:<\/p>\n<p><strong>1.) \u00a0 \u00a0Prepare applications<\/strong><strong>\u00a0for PRSSA<ins cite=\"mailto:amyo\" datetime=\"2012-07-12T15:03\">\u00a0<\/ins>awards.\u00a0<\/strong>The deadlines to submit for PRSSA Chapter awards like the Teahan National Chapter Awards and the Star Chapter Award are always in early June. Instead of scrambling in May to create your Chapter\u2019s entries, create a folder or binder to start collecting content now. Add to it throughout the year to showcase everything your Chapter has done. When it comes time to submit your entries, you\u2019ll have all the content you need. This is especially helpful for the Star Chapter Award applications, which requires Chapters to meet eight of a designated 10 qualifications to apply.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>2.) \u00a0 \u00a0<\/strong><strong>Schedule executive board meetings over the summer. <\/strong>Our e-board met once in May and will be meeting another again at the end of July. Even though classes haven\u2019t started, meeting over the summer will ensure that your first semester goes as smoothly as possible. During the first meeting, discuss your goals and ideas for the following academic year. Decide which of those ideas everyone wants to incorporate;\u00a0at the next meeting, everyone can provide\u00a0progress updates.<\/p>\n<p>&nbsp;<\/p>\n<p><strong>3.) \u00a0 \u00a0\u00a0<\/strong><strong>Enforce a 24-hour response rule. <\/strong>Staying in contact over the summer is crucial but can be difficult with internship schedules and vacations.\u00a0Even though your e-board may be in different locations, committing to emails responses within 24 hours will enable everyone to swap ideas and complete tasks in a timely manner.\u00a0If someone is going to be away from email for more than 24 hours, perhaps while traveling, ask him or her to inform you and other Chapter leaders beforehand.<\/p>\n<p><strong>\u00a0<\/strong><\/p>\n<p><strong>4.) \u00a0 \u00a0<\/strong><strong>Create summer task lists. <\/strong>From being on the executive board the year before becoming president, I knew how demanding the upcoming fall semester would be. Everyone is new to their position and learning how time consuming it all can be. So when I became president, I decided to make a list of tasks for every position. From that list,\u00a0I looked at our fall semester and thought, \u201cWhat can be done over the summer?\u201d <strong><\/strong><\/p>\n<p>Example: Our National Liaison is planning our Chapter&#8217;s arrangements for <a href=\"http:\/\/www.prssa.org\/events\/Conference\/\">National Conference<\/a> in San\u00a0Francisco and is responsible for creating an information\u00a0\u00a0folder for our members. This includes transportation and food options, things to do in the area, hotel information, etc. Although he won\u2019t finish all of it over the summer, he can research a lot of it so he won\u2019t have to when classes start and he has to organize the flights for everyone as well. As my mom always says, \u201cWork smarter, not harder.\u201d If there\u2019s something your executive board member can do now, why wait until classes and fall internships are also vying for their time?<ins cite=\"mailto:amyo\" datetime=\"2012-07-12T15:34\"><\/ins><\/p>\n<p><em>Editor\u2019s note: If your Chapter is creating a similar information guide for Conference, connect with the <a href=\"http:\/\/www.prssa.org\/events\/Conference\/Committee\/\">Conference Committee<\/a>\u00a0to save time on some research!<\/em><\/p>\n<p>&nbsp;<\/p>\n<p><strong>5.)\u00a0\u00a0\u00a0 <\/strong><strong>Understand that you\u2019re a team.<\/strong> Right now, in the summer,\u00a0I am not as busy as I usually am. Therefore, if I know someone on my executive board will be at their summer internship during the time I want something posted to our social media, I\u2019ll email them to say I will\u00a0post it. Although it\u2019s important for everyone to understand their responsibilities, we\u2019re a team. One of the most dangerous phrases to start saying is, \u201cThat\u2019s not my job.\u201d It may not be your responsibility,\u00a0but remember the biggest goal of being on executive board: serving the members. If you have free time and know someone else may not,\u00a0take the initiative to help out. They\u2019ll return the favor when you need it, and the members will be grateful for a unified executive board serving their best interests.<\/p>\n<p>&nbsp;<\/p>\n<p>Summer is a great time to get ahead, personally and professionally, and especially in PRSSA.
